Application - Office Camp Registrar

Trackers Earth, Bay Area, CA

Office Camp Registrar

Do you want be part of an organization that connects kids and adults to their community and their land? Are you an organizational ninja who can adroitly conquer and organize mountains of information?

We're looking for one incredible person to join our Berkeley Headquarters office team full time at Trackers Earth, the premier outdoor education organization in the Bay Area.

Who We Are

We are a team of outdoor nerds who believe in the incredible potential of kids and adults. Trackers is a diverse organization; less a business than a group of people focused on family and village. From the office to the field, we need people excited to create thoughtful, challenging adventures in outdoors, story, and folk wisdom. We seek emissaries who believe health and long life comes from connection to grand family and the beautiful land on which we live.

Moreover, we believe in the power of story. From a fantasy adventure played out over a week of camp to a shared cultural bond over a comic book or epic movie series, we know that stories bring people together. Translation: We're all huge, huge geeks.

What We Do

"Okay, but what does all that mean?" At Trackers, we wear many (many) hats. During the course of the year we:

  • Serve over 5,000 summer day & overnight camp students over 10 weeks

Although we rely on educational professionals with many years of experience teaching outdoor skills to execute our programs, we need just as much expertise behind the front lines. Phone calls, email inquiries, invoicing, registration processing, and a thousand different administrative organization tasks keep our complicated set of programs running smoothly and safely.

We're looking for someone who thrives in an incredibly complex environment. Our programs are very different from other camp programs, and parents expect us to answer their inquiries quickly and accurately, and assist them with any technical issues of online registration.

Ideally, we want someone on whom the sorting hat would waffle between Ravenclaw and Hufflepuff, but eventually put in Hufflepuff.

  • During camp days, work with a small team to manage up to 400 campers (and their adults) during the check-in and check-out process (in collaboration with the extended camp coordinator)
  • Other office duties as assigned

Required Experiences and Attributes:

  • At least 2 years of experience working in an office/administrative or service industry setting, with a customer service focus
  • Find joy in talking with our customer families and students
  • Proficiency with Google Docs, especially spreadsheets - comfort with spreadsheets is essential
  • Precise, clear, professional written and phone communication
  • Ability to self-direct and manage time with genius-level precision
  • Ability to meet parent and/or prospective student inquiries with a warm, welcoming, and helpful demeanor
  • Able to be firm when enforcing our registration policies
  • Able to process and organize large amounts of information
  • An obsessive eye for detail and ability to take the initiative, i.e. notice a problem and fix it
  • The patience to perform sometimes repetitive tasks
  • Possess a cheerful attitude towards cat-herding (our instructors are amazing, but sometimes prone to chasing squirrels)

  • Some Trackers Cultural Touchstones

    The Four Guilds

The Guilds are at the core of Trackers. No one needs to know all the skills in every guild, but almost everyone has an affinity and strong desire to develop their capacity.

Rangers Guild (Reconnect the Village) - The Rangers are the hunters and protectors of the village. Versed in the arts of wilderness survival, tracking, and awareness, they remind us all of our connection to the wild and ways of the forest.

Wilders Guild (Restore the Earth) - The Wilders are caretakers, restoring the land to what it once was and beyond. If you live the way of rural or urban homesteading, love bacon, appreciate the hunt for wild plants, like goats more than people (awkward), and want to restore the wild into every nook and cranny of this world, join the Wilders Guild.

Mariners Guild (Respect the Waters) - The Mariners Guild thrive by the waterways. They fish, build boats, and connect our world by wind and sea. Mariners chart their course by the stars. They are masters of healthy economy, barter, and trade. Through salty wisdom, they demand respect for the water and all life within - and only occasionally talk like pirates.

Artisans Guild (Remember our Story) - The Artisans Guild regale us with their theatrics. They are story keepers; travelers bare-of-foot, walking and sleeping under the twilight sky. If you are a fine craftsperson (woodworking, sewing, leather, or blacksmithing), a teller of excellent stories, a geek who loves Buffy and Doctor Who and Hamilton, or a role-playing LARPing/gamer nerd who loves the outdoors, join our Artisans Guild.

    The Rules and The Code

At Trackers we have 3 rules and a Code of Common Sense. Read on if you don't find that overly pretentious.

    The Rules:

    1) No one dies
    2) No wounds that don't heal in four days
    3) Follow the Code of Common Sense

    The Code of Common Sense:

Pay Attention - Things like driving, wilderness survival, and compassion require it.

Be Truly Helpful - Don't be one of those people who only thinks they are helpful, or helps just to make oneself look more awesome. Pay attention to see if you are actually living this.

Respect - This is not something we demand, it's something we thrive by. It's about respecting flow, challenges, and the complex amazing of the nature world.

We're doing it wrong; let's do it better! - Egos in check at the door. This is hard work and part of that is we're always going to find a way to be even more awesome.

If these rules and our Code strike a chord with you, let's talk. To apply, please email a resume and cover letter to bay@trackersearth.com. In your cover letter, please answer this question: If you could join any Trackers guild, which one most appeals to you?
