Please Note Our policies and procedures are subject to change. We actively review any new guidelines and adjust our Q&A as necessary. The below information is updated as of June 24, 2020.
Our thoughts go out to all the families affected by COVID-19. We want to offer support as we navigate these challenging times together. In response to the COVID-19, our kids, staff, and extended Trackers community is our top priority. We are closely reviewing and updating how we move forward based upon guidance from public & child health officials and recommendations from the American Camp Association. Please read below for the latest information. We want to help answer your questions about how Trackers is preparing for summer for your family.
Q: Is Day Camp still happening?
A: For the most part, yes. Some camps have been canceled due to last-minute staff changes or location permit issues unrelated to COVID-19 that no one could anticipate. We have temporarily reduced the size of some camps to ensure the safety of staff and campers through this pandemic. We are refining best practices for check-in, transportation, and operation of Trackers in this new world, in a safe and sustainable manner.
Q: I don't see my camp (or any camp this week) listed on your site anymore.
A: Camps that are no longer on the web site are full and have a full waitlist. If you’re already registered for a camp, you can log into your Trackers account to view the status and any updates.
Q: I haven't received any information about a camp that starts next week. What do I need to bring?
A: Reminder emails go out by EOD Friday before camp begins. In general, campers should bring a lunch, snack, water bottle, hat, sunscreen, mask, and hand sanitizer.
Q: What are the updated locations/drop off times?
A: Drop off is from 8:00 am to 8:45 am and pick up is from 3:00 pm to 3:30pm. We are not able to offer extended camp this summer due to the need to keep stable groups. If your drop off location has changed we will email that information directly to you.
Q: I have emailed already but haven't heard back about my cancellation/refund/credit. Did you get it?
A: Due to an unusually high email and call volume, it’s taking us as much as two weeks to get responses back to each and every call or email.
If you need immediate assistance for an issue NOT addressed here, please reach out via text message to 510-575-9444
Please note: All of our billing, refunds, cancellations, and changes are made by hand — our systems are NOT automated. This means each one is processed by a person in our office and can take hours for each one. We promise to respond as soon as we can, but please be patient with us, as we’re doing the very best we can!
Q: What is your cancellation/refund policy?
A: While our camps are nonrefundable after June 1, we revised our cancellation policy in response to COVID-19.
If you need to cancel a registration because you are directly impacted by COVID-19 (even after camp begins) we will not charge any cancellation fees and you will receive your full purchase price as a transferable credit for any future Trackers program, valid until the end of December 2022.
If we cancel a class, we will either:
1. Give you full credit for a later Trackers Earth program good now through December 2022. You can also use your credit toward either our place-based camps or our Spark online programs. (Accepting a credit rather than a refund allows us to continue providing these critical services); or
2. Give you a full refund: Reach out to us via email at firstname.lastname@example.org and we will provide a full refund. Put “REFUND” in the subject line, and please know that it may take up to two weeks for us to respond, but we will get back to each and every one of you.
Q: Will you still honor your cancellation policy if I email in time, but Trackers doesn't get to my request soon enough?
A: Yes, absolutely. We base cancellations on the date we receive the email, not the response date.
Q: Do you have space later in the summer?
A: Many of our camps are full. We are working to make more spaces available and we will post those online as soon as they open up. It is likely that as we work with parents to shift their scheduled camps, spaces may open up.
Q: In an earlier newsletter, Trackers mentioned neighborhood camps or camp share, what’s happening with those?
A: We are still working out logistics, and will send out updated information via the newsletter if/when registration for those camps become available.
Q: What is happening with Oregon Overnight camps?
A: Trackers has been working closely with the state over the last two months to determine if we are able hold Overnight camps this summer. Right now there is still discussions happening but , it is with great sadness that we must inform you that the Trackers Earth will not be able to run overnight camps this summer. Our decision is in response to the June 2nd guidance from the Oregon State Health Authority that ruled that such camps would not be able to operate within state health parameters at this time.
Q:How will check in / out change?
A: There has been a minor shift in camp times and those are reflected in your reminder email each week. To follow public and child health officials guidelines to maintain stable groups for our campers, we do not plan on currently offering after camp. Check-in has been moved to Camp Herms.
Q:What about health checks?
A: We ask parents to take their child's temperature every morning. If your child has any symptoms of being sick, please stay home for the safety of everyone. Trackers will credit you for that time. We are also planning an efficient and in-depth daily health check for staff and students at drop-off each day.
Q: What is your plan for transportation?
At this time, we are not planning transport in the Bay area.
Q:Why do kids need camp now?
A: What kids need now more than ever is care, connection and education. We strongly believe that in these times, education that is outdoors is best. Kids need the fresh air, new experiences and a chance to connect with friends - which all can be done outdoors for better social distancing. Also, this summer many parents are in critical need as they go back to work.
Q:Will your programs change?
A: Some camp programs will change slightly. Our goal is to maintain the integrity of our camp activities while adapting to evolving state health and safety guidelines.
A: We will provide hand sanitizer & handwashing stations, working to make sure each camper & staff uses them often throughout the day.
Q: Will campers wear masks?
A: Per current procedures, campers will be required to bring masks and wear them during transportation and other situations in which sufficient social distancing is not possible.
Q: Is Trackers keeping online camp?
A: Yes. We are working hard to bring you the high-quality adventure, fun, and learning that you have come to expect from Trackers, in a new online format. We have three options: Backyard Classroom (academic content outdoors based on common-core standards), Trackers Kids (fun and educational interactive courses in our Rangers, Wilders, Artisans, and Mariners guilds) and Trackers Skills (instructional and interactive courses for adults). You can find out more on our online programming page.
